TERMS AND CONDITIONS

​All reservations made with The Apartment Rooms Ltd are subject to these terms and conditions that are deemed to have been accepted in full by the booker and all persons/guests in the party and anyone involved in the booking process.

1.       ​Booking Terms - the main person responsible for the booking must be a minimum of 21 years of age. For security and health and safety reasons, the credit card used for payment along with photo ID will be required on arrival. Only the number of guests that have been notified to us may stay overnight in the apartment. No other overnight guests are permitted unless prior notification and agreement has been sought with The Apartment Rooms Ltd. At the time of booking you will also be asked to provide details of all the guests who will be residing at the apartment. You will also be requested to provide valid photo ID such as driving license or passport either prior to or on arrival of every guest that will be staying at the premises. Please note we do not accept bookings from hen/stag parties, or parties of a similar nature. 

2.       Check-in & Departure – guests may check-in from 2pm on the day of arrival. Departure on your last day is by 10am. Should you wish to request an early check-in or late check-out we will endeavour to accommodate your request depending on other guest bookings, and any additional costs for your extension will be communicated to you at the time of request.

3.       Insurance & Liability - The Apartment Rooms Ltd cannot be held responsible for any damage or loss to either your personal belongings, or for any personal injury that may occur during your stay. Neither we, nor our representatives, can be held responsible for any circumstances beyond our control, including (but not limited to) mechanical breakdown, illness or failure of any public service supply. We would highly recommend that all guests obtain appropriate travel and personal insurance cover, including contents cover for their personal effects as this is not provided or included as part of your booking. 

4.       Rates & Deposits - all rates quoted are fully inclusive of utilities including (where applicable) council tax and TV license fee, parking (where available), Netflix & cable channels (where available), Wi-Fi access, linen, towels and weekly maid service (stays of 1 week or more). 

On booking directly with The Apartment Rooms Ltd, a deposit of 25% of the rental is required. The balance is due 14 days before arrival. For bookings made within 14 days of commencement of stay, full payment by cleared funds is required at the time of booking. On booking and on arrival, valid credit card details will be taken. A security deposit of £300 (per stay/week of stay, up to a maximum of £1000) will be required to cover additional costs/damages.  

5.       Cancellations- if you need to cancel your booking please notify us in writing (email is acceptable to hello@theapartmentrooms.com). Our standard cancellation charges are as follows :-

       Within 48hrs of booking – no charge

       More than 14 days notice – no charge

       7-14 days notice - 25% charge

       Less than 7 days notice – 50% charge

       Non-arrivals – 100% charge

6.         Guest Amendments to Booking - should you need to make amendments to your booking (such as change of dates, length of stay etc) we will make every effort to accommodate these where possible. Should the same apartment not be available we shall advise you of any alternative options we do have. Any amendments requested may affect the overall rental price, for example if special rates have been agreed, and these will be communicated to you at the time. 

7.         Changes to Your Booking - in the unlikely event that we need to cancel the booked apartment, we will attempt to find suitable alternative accommodation to a similar standard and price. This may not always be possible, and should the alternative accommodation not be acceptable you may cancel the booking with no notice terms and receive a full refund.

We regret that we cannot accept liability for any loss, damage or additional expense where a booking needs to be altered or cancelled, or we are unable to perform our obligations due to events that could not have been reasonably foreseen or avoided, such as war, terrorist activity, natural/man-made disaster, adverse weather conditions etc.

We have the right to refuse, at our sole discretion, any bookings you make with us.

8.         Damages/Additional Charges - guests are fully responsible for taking reasonable care of the property, its fixtures and fittings and its contents during your stay and we would expect you to leave the property in a good condition on departure. If accidental damage does occur during your stay, then kindly let us know where we shall advise if any charges apply. Any damages, missing items found either during or at the end of the stay will be advised and re-charged accordingly for either the repair or replacement of the item(s).

If an apartment is left uninhabitable due to the extent of damage caused, we also reserve the right to charge for any loss in revenue in addition to the cost of the repairs. 

Photographic evidence will be provided wherever possible.

The cost for replacing lost keys, fobs or parking permits will also be re-chargeable to the guest. 

9.         Additional Cleaning - our housekeepers will attend to the apartment on your departure, however we would request you leave the apartment in a tidy condition and where possible all washing up is attended to prior to leaving. Any apartments requiring additional cleaning time due to their condition will incur a re-charge cost of the hours spent by our housekeepers @ £12 per hour.

If, in our opinion, further professional cleaning is required this will also be charged in addition to the house-keeping cleaning fee. 

10.     Call out Charge – should you require assistance from The Apartment Rooms Ltd, i.e. with re-entry etc, a call out charge of £80 will be required out of office hours (Monday to Friday 9am-5pm). You may call on 07833 848333.

11.     Parking - if a parking permit has been provided to you, please ensure that you display it clearly in your windscreen. Park in the correct bay as failure to do so may result in a fine being issued and unfortunately The Apartment Rooms Ltd have no jurisdiction with regards to fines given by the parking company.

12.     Smoking - all apartments are strictly NO smoking INSIDE the apartment. This is due to the potential fire hazards, to protect the property and furnishings from damages/odours and is a stipulation from the building management company. 

Guests will be fully responsible for any damages/burns, additional cleaning or refurbishment work required from smoke damage. Any re-charges applicable will be made to the credit card details held or deducted from any deposit held.

13.     Pets - we are unable to allow pets in our apartments as per the terms of the building leases.

14.     Complaints & Behaviour - please kindly refrain from excessive noise levels/loud music at all times in consideration for other residents, and especially between the hours of 9pm and 8am.

We operate a zero tolerance policy and must respond to any complaints received no matter what the nature or cause and are obliged to act in the interests of the development and its other residents. If extensive complaints have been made about the occupants, The Apartment Rooms Ltd has the right to inspect the property for damage without appointment. The Apartment Rooms Ltd has the right to ask occupants who have disregarded the terms and conditions to vacate the property with immediate effect.

We hope you enjoy your stay with us but in the event that you are not entirely satisfied with any aspect of your stay or the service being provided by us, then please notify us as quickly as possible by phone or email so that we can assist.
